Gemini in Gmail vs AI Reply Writer: built-in AI or one reply tool everywhere?

Google's Gemini in Gmail ("Help me write", suggested replies) compared with AI Reply Writer: availability, where each works beyond Gmail, and when to use which.

Gemini in Gmail vs AI Reply Writer — Gemini in Gmail: Google’s AI, built into Gmail; AI Reply Writer: One reply button, in Gmail and beyond
In short

Gemini in Gmail is Google's own AI built into Gmail: it can draft emails with "Help me write", suggest replies and summarise threads, with availability depending on your Google account, plan, region and language. AI Reply Writer works in Gmail too, and in 23 sites in total — Outlook, LinkedIn, WhatsApp Web, Instagram, Slack, review sites and more — with the same button and the same voice. Use Gemini if you live in Google's apps and have it on your plan; use AI Reply Writer if your replies are spread across many apps.

What Gemini in Gmail is

Google has built its Gemini AI into Gmail. Depending on your account, you may see "Help me write" for drafting an email from a prompt, suggested replies under a message, and summaries of long threads. Because it is part of Gmail, it also works in Gmail's mobile app, and it needs nothing installed.

Which features you get depends on your Google account type, your plan (personal, Google's paid AI plans or Workspace), your region and your language, and Google rolls features out in stages. Check the Gemini settings in your own Gmail to see what is available to you.

What AI Reply Writer is

AI Reply Writer adds a ✦ AI Reply button to Gmail's reply box — and to the reply boxes of 23 sites in total. In Gmail it reads the whole thread and its attachments (photos and PDFs), and needs no access to your Google account: it reads only the email open on your screen, when you press the button.

  • The same tool everywhere: Gmail, Outlook, LinkedIn, WhatsApp Web, Instagram, Facebook, Slack, Teams and more.
  • Review replies on Google Business Profile — which is not part of Gmail — and Trustpilot.
  • A choice of AI models, with advanced models on paid plans.

The main differences

One app vs many

Gemini in Gmail is excellent where it is available, but it lives in Google's apps. If you also answer customers on WhatsApp, clients in Outlook, and comments on LinkedIn and Instagram, a single reply tool across all of them is simpler than a different AI in each.

Availability

Gemini's features vary by plan, region and language. AI Reply Writer works the same way for every account on the sites it supports, in any language your Gmail is set to.

Phone

Gemini works inside Gmail's mobile app. AI Reply Writer is a desktop browser extension; on a phone, its web app writes replies you copy.

Pricing

Gemini's Gmail features come with Google accounts and plans as Google decides; see Google's own pages for what your plan includes.

AI Reply Writer has a free plan with 20 replies a month, no card needed. Paid plans are Starter ($7 a month), Elite ($14) and Ultra ($29); higher plans unlock more advanced AI models and larger allowances, and teams can buy the same plans per member. See pricing.

Which should you choose?

  • Use Gemini in Gmail if you work mainly in Gmail and Google Workspace and it is available on your plan — especially if you want AI on your phone.
  • Use AI Reply Writer if your replies are spread across email, social media, chat apps and review sites, or Gemini is not available for your account or language.
  • Use both: they work side by side in Gmail.
