How to write a follow-up email after no response (12 templates)
When and how to follow up on an unanswered email — for proposals, invoices, job applications, meetings and introductions — with 12 short templates to copy.

Wait two to three working days, then reply in the same thread with one or two sentences that restate what you need and make it easy to answer. If there is still no reply, follow up once or twice more at longer intervals, adding something useful each time, and then send a polite last message that closes the loop. Never guilt-trip the reader: people miss emails, and a friendly nudge is usually welcome.
When to follow up
Most unanswered emails were not ignored; they were read on a phone, meant to be answered later, and buried. A follow-up is a reminder, not an accusation. A sensible schedule:
- First follow-up: two to three working days after the original. Sooner if there is a real deadline.
- Second follow-up: about a week after the first.
- Last message: one to two weeks after that. Then stop, or move to another channel.
Time-sensitive emails — a meeting tomorrow, an invoice already overdue — can follow up within a day. Cold emails to someone who has never heard of you deserve the longest gaps.
The five rules of a good follow-up
- Reply in the same thread, so the original message is right there and nobody has to search for it.
- Lead with the ask. "Could you confirm the start date?" belongs in the first sentence, not the third.
- Make it easy to answer. A yes/no question, two date options, or "just reply with the number" beats an open-ended "thoughts?".
- Add something new on the second and third follow-up: a deadline, a useful link, a shorter version of the ask.
- Drop the guilt. Skip "just bumping this", "as per my last email" and "I know you're busy, but…". They read as passive-aggressive.

Subject lines that get follow-ups opened
If you are replying in the same thread, keep the original subject so the reader recognises it. If you must start a new thread, make the subject say what you need:
- Quick question about the 15 Nov launch
- Invoice #2381 — due 3 Oct
- Two times for our call next week
- Following up: Marketing Coordinator application
Avoid "Following up" on its own, "Checking in" and anything in capitals. They say nothing about what is inside.
