Reply to every Google review, good or bad, within a day or two. Thank the reviewer by name, mention the specific thing they said, and keep it to two to four sentences. For a negative review, apologise without arguing, own the problem, and invite them to continue the conversation privately. Why replying to reviews matters

A review reply has two audiences. The reviewer is one; the bigger one is every future customer who reads your profile and sees how you treat people. A thoughtful reply to a two-star review often does more for your reputation than the review did against it.

Replies are public and appear under the review on Google Search and Google Maps. Google also notifies the reviewer when you reply, which gives an unhappy customer a reason to come back — sometimes to update their rating.

Google's own guidance for business owners is simple: be polite, be brief, and thank the reviewer. Everything below is a way of doing those three things well.

The five rules for every reply

  1. Reply quickly. Aim for one to two days. A reply weeks later reads as an afterthought.
  2. Use their name and their words. "Thanks, Priya — glad the cold brew hit the spot" beats "Thank you for your feedback" every time.
  3. Keep it short. Two to four sentences. A wall of text under a review looks defensive.
  4. Never copy-paste. Readers scroll through several replies at once, and identical replies read as automated — because they are.
  5. Mention what you are, naturally. If they praise "the best biryani in Colombo", saying "we are so glad you enjoyed our biryani" uses the words the next customer searches for — once, in a real sentence, never stuffed.

A five-star review deserves more than "Thanks!". Pick up one detail from what they wrote, and give them a reason to come back.

How to respond to negative reviews (8 examples)

A negative review is the one future customers read most carefully. Your reply is your chance to show how you handle problems. The structure that works:

  1. Thank them and apologise for the experience — without hedging.
  2. Acknowledge the specific problem in one sentence.
  3. Say what you are doing about it, if you can.
  4. Offer to continue privately, with a name and a way to reach you.
Slow service

Hi Daniel, I am sorry your order took so long on Friday — that is not the experience we want for anyone. We were short-staffed that evening and have since changed our rota. I would love to make it up to you: please ask for me, Hina, on your next visit.

You cannot delete a review yourself, but you can report one that breaks Google's policies — for example spam, a review from someone who was never a customer, or off-topic or offensive content. Report it from your Business Profile, then reply calmly in case it stays up: readers will judge the reply, not the accusation.

How to reply to Google reviews faster

Replying to every review is the right thing to do and also the part owners skip, because writing twenty personal replies a week takes time. Two ways to keep it up:

  • Keep a short library of the openings and closings you like, but always write the middle sentence fresh from what the customer said.
